1. Who we are
TracePrep is a tax workpaper automation product operated by TracePrep Inc. ("TracePrep", "we", "us"). We help CPA firms process tax workpapers and, where authorized, connect to a firm's QuickBooks Online company file through the Intuit OAuth 2.0 flow.
2. Information we collect
We collect information that you provide directly (such as your name, work email, firm, and any feedback or support requests) and information from the integrations you authorize, including the QuickBooks Online data described in Section 3.
We also collect limited operational metadata required to run the service, such as request logs, error traces, and security events. We do not intentionally collect sensitive personal information outside of the tax workpaper context you choose to upload.
3. QuickBooks Online OAuth data
When you click Connect to QuickBooks, you are redirected to Intuit to authorize TracePrep. If you approve the connection, Intuit returns an authorization code that TracePrep's servers exchange for OAuth tokens scoped to com.intuit.quickbooks.accounting.
Once connected, TracePrep may read accounting data from your authorized QuickBooks Online company file — for example, chart of accounts, transactions, customers, vendors, invoices, and reports — solely to provide the workpaper, reconciliation, and tax-prep features you ask us to run on your behalf.
TracePrep does not sell QuickBooks Online data and does not use your QuickBooks Online data to train third-party models.
4. How we use information
- To provide and operate TracePrep features you invoke.
- To diagnose issues and improve reliability of the QuickBooks Online integration.
- To communicate with you about your account or support requests.
- To meet legal, professional, and tax-practice obligations that apply to a CPA firm.
5. How we store information
We store information on infrastructure operated by TracePrep Inc. and its hosting providers. Access controls, encryption in transit (HTTPS), and operational logging are in place; specific control certifications (such as SOC 2) are not claimed unless expressly stated by TracePrep Inc. in writing.
6. Retention
We retain information for as long as needed to provide the service, to meet our tax, accounting, and other legal obligations, or to resolve disputes. Specific retention windows for QuickBooks Online data may be set out in the applicable customer agreement, support process, or disconnect request.
7. Sharing and subprocessors
We share information with service providers that help us run TracePrep (for example, cloud hosting, error monitoring, and customer support tooling). Each subprocessor is bound by confidentiality and security obligations. A subprocessor list is available on request to customers under an engagement.
We do not share QuickBooks Online data with marketing platforms, advertising networks, or unrelated third parties.
8. Your choices and rights
- You may disconnect TracePrep's access to QuickBooks Online at any time from inside QuickBooks Online (Settings → Apps → Connected Apps). See Disconnect QuickBooks for guidance.
- You may request access to, correction of, or deletion of your personal information by emailing support.
- You may request export of your TracePrep-stored data in a portable format.
9. Tax-data and Section 7216 notice
Tax return information handled through TracePrep may be subject to Internal Revenue Code Section 7216 and professional confidentiality rules depending on the engagement and firm using the Service. We will not disclose or use your tax return information outside the purposes authorized for the Service unless you have provided required consent or unless disclosure is required or permitted by law.
10. Children
TracePrep is a business product and is not directed to children. We do not knowingly collect information from children.
11. Changes to this policy
We will update this policy as the product evolves. Material changes will be reflected by an updated "Last updated" date at the top of this page.
